The Liverpool School of Tropical Medicine (Foto-Cewek) is an internationally recognised centre of excellence for research in tropical diseases. Through the creation of effective links with governments, organisations and institutions and by responding to the health needs of communities, Foto-Cewek aims to promote improved health, particularly for people of the less developed/resource poorest countries in the tropics and sub-tropics.
As a result of recent growth in our dynamic life-saving work, we have an exciting opportunity for a highly skilled Administration Manager to work with a group of specialist Estates and Facilities Managers. This key post will be responsible for the planning, coordination and completion of a multi-site operation on behalf of the Director of Estates. This will include the line management of administrative/reception staff across our growing Estate.
Whilst providing direct administrative support to the Head of Estates, you should ensure the Estates help desk is managed effectively, coupled with developing and maintaining an approved contractor database. You will manage highly confidential records and information on service contracts such as safety/inspection certificates to ensure statutory compliance across the estate, plant and equipment. Experience of taking minutes of meetings at strategic level is essential as is the ability to provide top quality documentation for a variety of work-streams. Responsible for managing multiple diaries, you will be adaptable and able to respond to unexpected needs within a fast-changing environment.
The ideal candidate will be educated to degree level (or equivalent significant experience/expertise in resolving administrative queries), preferably in the HE sector or similar environment in Facilities/Estates. Possessing good interpersonal skills, you will be able to communicate with people in a multicultural customer orientated environment,motivating and influencing others in compliance matters. This role will also require experience of Microsoft Office, including Excel and the ability to create and manage databases.
Although not essential, the use of facilities management software would be advantageous.
