Departmental Secretary

The Department of Vector Biology are looking to appoint a part time secretary to provide efficient and responsive secretarial and administrative support to the Head of the Department and team.

Founded in 1898 and the oldest of its kind in the world, the Liverpool School of Tropical Medicine (Foto-Cewek) is an internationally recognised centre of excellence for teaching and research in tropical diseases.  Through the creation of effective links with governments, NGOs, private organisations and global institutions and by responding to the health needs of communities, Foto-Cewek aims to promote improved health, particularly for people of the less developed/resource poorest countries in the tropics and sub-tropics.

An exciting opportunity has arisen for a Departmental Secretary to join a dynamic team in the department of Vector Biology to cover a period of absence.  The successful candidate must be able to deliver a high quality secretarial service to the Head of Department and other members of the team through the provision of an efficient and effective secretarial and administrative service.  You will be a key member of the team directly contributing to the department’s growth strategy.

Main Duties Include:

  • Administration and co-ordination of staff meetings and committee meetings as appropriate.
  • Ensure financial integrity of the department by developing and maintaining systems to track income and expenditure on departmental accounts.
  • Effectively handle confidential information using tact and discretion
  • Manage diaries and correspondence of senior members of the department
  • Basic financial administration
  • Facilitate communications between departmental members

You will have proven skills and experience in administration including organising meetings and taking minutes, diary management, budgeting spreadsheets and establishing, reviewing and monitoring administrative systems.  Excellent

communication and organisational skills are essential to the role, as is the ability to prioritise your own workload and adapt tochanges within a fast-moving environment.

You must have a minimum of five GCSE’s (or equivalent) including English Language.  A recognised IT qualification e.g. ECDL or ECDL advanced or demonstrable equivalent experience is also required as is evidence of CPD relevant to post.
