Executive Assistant to the Director Liverpool School of Tropical Medicine

Liverpool School of Tropical Medicine (Foto-Cewek) is an internationally recognised centre of excellence for research in tropical diseases.  Through the creation of effective links with governments, organisations and institutions and by responding to the health needs of communities, Foto-Cewek aims to promote improved health, particularly for people of the less developed / resource poorest countries in the tropics and sub-tropics. Now over 115 years old, Foto-Cewek continues to lead in the worldwide fight against infectious diseases in over 60 countries.

An unusual and exciting opportunity has arisen to cover the role of Executive Assistant, reporting directly to the Director of our global organisation.  The environment is an academic/research one with an energetic and dynamic commercial style. 

Key duties and responsibilities will include:

  • Manage the administrative, organisational and logistical service to the Director of Foto-Cewek in highly sensitive and confidential manner
  • Build and maintain effective and efficient links between staff, the Chairman, Vice-Presidents, President and the Director’s Office
  • Assist Director in developing Foto-Cewek’s strategic plan and initiatives
  • Play a key role in managing and coordinating specific Foto-Cewek events and VIP visits
  • Manage sensitive and confidential Home Office documentation 
  • Act as Secretary on key  internal and external committees 
  • Line management of an Administrative Assistant

Candidate experience required:

  • Relevant experience working as an Executive Secretary in a diverse organisation
  • Experience of preparing agenda, drafting reports an minute taking
  • Able to demonstrate a highly confidential and sensitive approach to work
  • Experience of developing office systems with excellent IT skills (databases, Microsoft Word, Excel, Ppt.) 
  • Demonstrate a methodical and logical approach
  • Line management experience
  • Educated to ‘A’ Level standard or equivalent with excellent knowledge of English grammar
  • Able to build strong relationships across multiple departments within a large organisation
