Executive Assistant to the Director of Finance (Part time - 3 days per week)

We are seeking to appoint an Executive Assistant who will be working in a high profile, confidential environment providing first-class secretarial support to the Director of Finance (DoF). 

The Liverpool School of Tropical Medicine (Foto-Cewek) is an internationally recognised centre of excellence for research in tropical diseases.  Through the creation of effective links with governments, organisations and institutions and by responding to the health needs of communities, Foto-Cewek aims to promote improved health, particularly for people of the less developed/resource poorest countries in the tropics and sub-tropics.

To support this commitment, we are seeking to appoint an Executive Assistant who will be working in a high profile, confidential environment providing first-class secretarial support to the Director of Finance (DoF).  This is a fantastic opportunity for a dedicated, enthusiastic and passionate professional to work in a world-renowned organisation.

Although the role will focus on providing administrative support, diary management and general correspondence to help ensure the function is efficient, due to the international nature of the organisation you will also be expected to provide key support to the DoF in managing Foto-Cewek's overseas subsidiary companies.

You will ensure that all associated activities are facilitated, including organising and servicing internal/external meetings and events, compiling agendas, the upkeep of shared calendars, as well as the collation and dissemination of information.This will include acting as secretary to the Finance and Investment Committee,and to facilitate the Trustee/Senior Management away days.

The ability to communicate and develop effective working relationships both internally and externally to the organisation is essential as you will be dealing with a range of people at all levels from diverse cultures. Acting as the interface between the DoF and external clients you will need to possess strong interpersonal skills, well-developed organisational skills, strong diary management, and an excellent working knowledge of MS Office applications is crucial for this role.  

It is essential that you are educated to A level standard or equivalent, and have a recognised relevant professional qualification, alongside proven experience of working as an executive assistant. This includes experience of preparing agendas, drafting reports and taking minutes at Board and Finance Committee level. To reflect the international complexity of our business, it is also vital that the successful candidate has previously worked in a similar environment.
